Terms and Conditions

Important Notice

PayTrack is a tracking and organization tool. It does not provide accounting, tax, legal, financial, banking, payroll, audit, or investment advice. PayTrack may use analytics, diagnostics, crash reporting, and monitoring tools such as Sentry, PostHog, and Google Analytics to operate, secure, troubleshoot, and improve the service.

Acceptance of Terms

By downloading, accessing, browsing, or using PayTrack, including our mobile application, website, landing pages, contact forms, support pages, and related services, you agree to be bound by these Terms and Conditions. If you do not agree with these Terms, do not use PayTrack. PayTrack is operated by Quantara Technology Company Pvt. Ltd. ("PayTrack", "we", "us", or "our").

These Terms apply to all PayTrack users, including business owners, administrators, invited users, team members, and anyone accessing the app through an authenticated account.

Use of the App

PayTrack is a vendor bill tracking and business payables organization tool. You may use the app to manage vendors, create bills, track unpaid totals, monitor due dates, attach invoices or payment proof, record payments, enable reminders, export records, and manage account settings.

You agree to use PayTrack only for lawful business or organizational purposes. You must not misuse, disrupt, reverse engineer, scrape, overload, attack, bypass security, attempt unauthorized access, upload malicious files, or interfere with any part of the service.

Account Responsibility

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must provide accurate, current, and complete information when creating or using your PayTrack account.

Accounts, Roles, and Authorized Users

PayTrack supports multiple users within a business. A business owner may invite additional users by email and assign each a role — Owner, Admin, Manager, or Staff. Each user must access PayTrack through their own authenticated account and is responsible for activity that occurs under that account.

In addition to roles, the business owner or an administrator may grant or restrict granular permissions for each member, separately controlling the ability to view, add, edit, or delete vendors and bills, mark bills as paid, export data, view the activity log, and manage the team. These controls are enforced both in the app and at the database level.

You are responsible for deciding which users to invite, what roles and permissions to grant, and for removing access when a user should no longer have it. A business always has exactly one owner, and ownership may be transferred to another eligible member.

Business Data

PayTrack allows you to store business-related information, including business profile details, vendor records, bill records, due dates, payment status, notes, reminders, attachments, notification preferences, and related app settings.

You retain ownership of the business data you enter into PayTrack. By using the service, you grant PayTrack permission to host, process, store, transmit, back up, display, secure, and otherwise handle your data only as needed to operate, maintain, troubleshoot, protect, and improve PayTrack.

Vendor and Payment Records

PayTrack helps you organize vendor bills and payment records. You are solely responsible for the accuracy, legality, completeness, and reliability of the vendor, invoice, bill, payment, due date, reminder, and attachment information you enter.

PayTrack does not verify whether a bill, invoice, vendor, payment, payment proof, due date, tax amount, accounting category, or payable record is accurate, valid, legally enforceable, tax-compliant, or financially correct.

Attachments and Files

PayTrack may allow you to upload invoices, bills, receipts, payment proof, or other related files. You are responsible for ensuring that you have the legal right to upload and store those files.

You must not upload files that are unlawful, harmful, abusive, misleading, infringing, malicious, confidential without authorization, or unrelated to legitimate use of the app. We may restrict or remove access to files if required for security, legal compliance, service integrity, or abuse prevention.

Reminders and Notifications

PayTrack may provide reminders and notifications for upcoming, due, overdue, paid, or account-related bill events. These reminders are provided for convenience only and may depend on device settings, notification permissions, internet access, operating system behavior, app configuration, and third-party notification services.

PayTrack is not responsible for missed, delayed, blocked, duplicated, or inaccurate reminders. You remain responsible for monitoring and paying your vendor bills on time.

Analytics, Diagnostics, and Monitoring

To operate, secure, troubleshoot, and improve PayTrack, we may use analytics, diagnostics, crash reporting, performance monitoring, and product monitoring tools, including Sentry, PostHog, and Google Analytics.

These tools may help us understand app performance, crashes, errors, device compatibility, feature usage, page views, screen views, navigation behavior, traffic sources, session events, and service reliability.

These services may process technical information such as device type, operating system, app version, browser type, IP-derived approximate region, user or device identifiers, analytics/session IDs, push tokens, event timestamps, crash logs, stack traces, performance data, and interaction events.

We use analytics and diagnostics to improve PayTrack. We do not use these tools to provide accounting, tax, legal, banking, payroll, audit, investment, or financial advice.

No Accounting, Tax, Legal, or Financial Advice

PayTrack is a tracking and organization tool. It does not provide accounting, tax, legal, investment, banking, credit, payroll, audit, or financial advice.

Any totals, overdue amounts, due-soon amounts, payment status, exports, summaries, charts, reminders, or dashboard views shown inside PayTrack are based on the information you provide. You should consult a qualified accountant, tax professional, lawyer, or financial advisor before relying on records for tax filing, accounting, legal, audit, or financial decisions.

Subscriptions, Trials, and Pricing

Some PayTrack features may be free, paid, subscription-based, trial-based, promotional, or limited by plan. Pricing, included features, billing periods, renewal rules, and availability may vary by region, platform, app store, or promotional offer.

If you purchase a subscription through Apple App Store or Google Play, billing, renewal, cancellation, and refund handling may be managed by the applicable app store under its own terms and policies.

Subscriptions may automatically renew unless cancelled before the renewal date according to the rules of the platform where you subscribed. Deleting the PayTrack app or deleting your PayTrack account may not cancel your subscription. You must cancel through the relevant app store, payment provider, or subscription management settings.

Fees, Plans, and Support

PayTrack is currently offered free of charge. We plan to introduce paid plans — currently described as Free, Pro, Business, and Enterprise tiers — beginning around November 2026. Details of the planned plans are shown on our Pricing page and may change before launch.

We will provide reasonable advance notice before any charges apply to your account. Paid features, usage limits, seat counts, and availability may vary by plan, region, and platform. Technical and account support is available by email during business hours at quantara.technology.company.pvt@gmail.com.

Refunds

Refund eligibility depends on where and how you purchased PayTrack. Purchases made through Apple App Store or Google Play are generally handled by the applicable app store and are subject to that platform’s refund policies.

For purchases handled directly by PayTrack, if any, refund requests will be reviewed according to the terms shown at the time of purchase and applicable law.

Data Export

PayTrack may allow you to export supported payable records, vendor records, bill records, or related data in CSV or other available formats. Export availability may depend on your app version, account status, plan, technical limits, and supported features.

Exports are provided for convenience and may not include every file, attachment, setting, notification token, diagnostic record, analytics event, authentication record, or internal system record. You are responsible for reviewing exported records before using them for business, accounting, tax, legal, audit, or reporting purposes.

Account Deletion

You may request or perform account deletion through the PayTrack app where available. Deleting your account may permanently remove your profile, business access, vendors, bills, notification preferences, push tokens, attachments, and related app records where applicable.

Some information may be retained where required or permitted by law, security obligations, fraud prevention, dispute resolution, backup retention, tax compliance, app store transaction records, analytics integrity, crash diagnostics, or legitimate business operations.

Account deletion does not automatically cancel active app store subscriptions. You must cancel subscriptions separately through the applicable platform.

Acceptable Use

You agree not to use PayTrack to upload malicious files, violate laws, infringe third-party rights, harass others, submit false or misleading information, attempt unauthorized access, interfere with service security, abuse support channels, or use the app in a way that could damage PayTrack, service providers, or other users.

We may suspend, restrict, or terminate access if we believe your use violates these Terms, creates security risk, causes harm, violates third-party platform rules, or exposes PayTrack or others to legal liability.

Service Availability

We aim to keep PayTrack reliable, but we do not guarantee uninterrupted, error-free, secure, or always-available service. The app may be affected by maintenance, updates, internet issues, device issues, operating system changes, app store rules, third-party outages, analytics or monitoring service interruptions, payment provider issues, or technical failures.

We may update, modify, suspend, restrict, or discontinue parts of the service at any time, including features, pricing, limits, supported platforms, integrations, analytics tools, or availability.

Service Reliability and Backups

PayTrack is hosted on managed cloud infrastructure that maintains backups as part of its standard platform operations. We do not guarantee a specific backup frequency, recovery time, or uptime level, and we are not liable for data loss resulting from factors outside our reasonable control.

You should not rely on PayTrack as your only copy of business-critical records. PayTrack includes a built-in CSV export for your bills and vendors so you can keep your own copy at any time. In the event of a service interruption or discontinuation, we will make reasonable efforts to protect your data and, where practical, provide notice and an opportunity to export it.

Third-Party Services

PayTrack may rely on third-party services for hosting, authentication, database storage, file storage, analytics, crash reporting, error monitoring, diagnostics, notifications, payments, app distribution, website hosting, customer support, form handling, and abuse prevention.

These services may include Sentry for crash reporting and error monitoring, PostHog for product analytics, Google Analytics for website or app analytics, Apple App Store, Google Play, hosting providers, database providers, file storage providers, notification providers, and payment providers.

Your use of PayTrack may involve processing by those third-party services, and their handling of information may also be subject to their own terms, privacy policies, data processing terms, platform rules, and security practices.

We are not responsible for third-party outages, policy changes, fees, security incidents, data handling outside our instructions, or actions outside our control.

Intellectual Property

PayTrack, including its name, logo, design, software, user interface, graphics, screenshots, branding, website, documentation, and related content, is owned by PayTrack or its licensors and is protected by applicable intellectual property laws.

You may not copy, modify, distribute, sell, reverse engineer, decompile, scrape, or create derivative works from PayTrack except as allowed by law or with our written permission.

Termination

You may stop using PayTrack at any time. We may suspend or terminate your access if you violate these Terms, misuse the service, create security risk, fail to pay applicable fees, violate platform rules, or if continued access would expose PayTrack, users, service providers, or third parties to risk.

After termination, your right to use the service ends immediately. Certain sections of these Terms, including ownership, disclaimers, acceptable use, account deletion, subscriptions, limitation of liability, and dispute-related terms, will continue to apply where legally permitted.

Disclaimers

PayTrack is provided on an “as is” and “as available” basis. To the maximum extent permitted by law, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy, availability, uninterrupted operation, data integrity, and non-infringement.

We do not guarantee that PayTrack will meet your business needs, prevent missed payments, ensure accurate financial records, replace professional advice, comply with your accounting or tax obligations, or operate without errors, outages, or interruptions.

Limitation of Liability

To the maximum extent permitted by law, PayTrack and its owners, employees, contractors, partners, service providers, and affiliates will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost data, inaccurate records, missed payments, business interruption, loss of goodwill, tax issues, accounting errors, or third-party claims.

Our total liability for any claim related to PayTrack will be limited to the amount you paid to use PayTrack during the twelve months before the claim, or the minimum amount permitted by applicable law if no payment was made.

Changes to Terms

We may update these Terms from time to time. When we make changes, we may update the “Last updated” date above and, where appropriate, notify users through the app, website, email, or other reasonable means.

Your continued use of PayTrack after updated Terms become effective means you accept the revised Terms. If you do not agree, you should stop using the service.
