Privacy Notice
PayTrack stores business, vendor, bill, attachment, account, analytics, diagnostics, and crash reporting data to provide, secure, troubleshoot, and improve vendor bill tracking features. We do not sell your personal information or business records to advertisers.
Introduction
This Privacy Policy explains how PayTrack, operated by Quantara Technology Company Pvt. Ltd. ("PayTrack", "we", "us", or "our"), collects, uses, stores, shares, and protects information when you use our mobile application, website, landing pages, support pages, contact forms, and related services.
PayTrack is a vendor bill tracking app for small businesses. It helps users manage vendors, create bills, track unpaid totals, monitor due dates, attach invoices or payment proof, record payments, enable reminders, export records, and manage account settings.
Information We Collect
We may collect account information such as your name, email address, authentication identifiers, account status, business access role, app settings, and support contact details.
We may collect business information you provide, including business name, currency, timezone, vendor records, vendor contact details, billing addresses, bill records, invoice numbers, bill amounts, due dates, payment status, payment methods, payment references, notes, reminders, attachments, and related payable records.
We may collect technical information such as device type, operating system, app version, browser type, language, approximate region, IP-derived location, device or browser identifiers, session information, crash logs, diagnostics, performance data, and usage events needed to maintain, secure, troubleshoot, analyze, and improve the service.
Business and Vendor Data
PayTrack stores the business and vendor data you enter into the app so the service can provide vendor bill tracking features. This may include vendor names, contact details, billing addresses, unpaid totals, open bill counts, invoice numbers, bill amounts, issue dates, due dates, payment methods, payment references, payment notes, reminders, and bill status.
You are responsible for ensuring that the business and vendor information you enter is accurate and that you have the right to store it in PayTrack.
Financial Information You Enter
PayTrack may store financial or payment-related information that you enter, such as bill amounts, unpaid totals, overdue totals, due-soon totals, payment status, payment method, payment reference number, paid date, notes, invoices, receipts, and payment proof.
PayTrack does not verify this information and does not provide accounting, tax, legal, banking, payroll, audit, investment, or financial advice.
Attachments and Files
PayTrack may allow you to upload invoices, bills, receipts, payment proof, or related files. These files are used to support bill tracking and record keeping inside your account.
Uploaded files may contain business, vendor, payment, tax, accounting, or financial information. You should only upload files that are relevant to your use of PayTrack and that you are authorized to store.
Analytics, Diagnostics, and Crash Reporting
PayTrack uses analytics, diagnostics, crash reporting, performance monitoring, and product monitoring tools to understand how the app and website perform, detect bugs, identify crashes, improve reliability, prevent abuse, and make product decisions.
We may use Sentry for crash reporting, error monitoring, performance monitoring, stack traces, logs, device and app diagnostics, and technical context related to errors or failures.
We may use PostHog for product analytics, event tracking, feature usage, funnels, session information, interaction events, and product improvement insights.
We may use Google Analytics for website or app analytics, traffic measurement, page views, device and browser information, approximate location, referral sources, campaign attribution, cookies, mobile identifiers, or similar technologies where applicable.
Analytics and diagnostics data may include technical identifiers, event timestamps, device type, operating system, app version, browser information, page or screen views, button clicks, navigation paths, performance data, crash context, and approximate location. We do not sell your business records or personal information to advertisers.
Identifiers
PayTrack may process identifiers such as user IDs, account IDs, authentication IDs, device IDs, push notification tokens, analytics IDs, session IDs, installation IDs, and browser identifiers.
These identifiers help us authenticate users, secure accounts, deliver notifications, troubleshoot issues, analyze usage, prevent abuse, and operate the service.
How We Use Information
We use your information to provide and operate PayTrack, authenticate users, store vendor and bill records, display dashboards, calculate unpaid and overdue totals, send reminders, manage attachments, enable exports, provide support, process account deletion requests, improve app performance, troubleshoot errors, prevent abuse, and maintain security.
We use analytics and diagnostics information to understand feature usage, improve product design, fix bugs, detect crashes, monitor reliability, measure website traffic, and make PayTrack more stable and useful.
Data Storage and Hosting
PayTrack stores your data on secure, managed cloud infrastructure. Our primary database is hosted in Southeast Asia (Singapore). Your account, business profile, vendors, bills, payment records, notification preferences, and app settings are stored in a managed cloud database. Uploaded invoices, receipts, and payment proof are stored in private cloud file storage.
Attachments are kept in a private storage location and are not publicly accessible. When an authorized user opens an attachment, PayTrack generates a temporary, expiring link so the file can be viewed only by permitted members of your business.
Some support service providers, such as analytics and error-monitoring tools, may process limited technical data in other regions (for example, the United States). Depending on our infrastructure and service providers, your data may therefore be processed in more than one country. See the International Users section for more information.
Security and Encryption
We use reasonable technical and organizational measures designed to protect the information stored in PayTrack. Communication between the app and our servers is encrypted in transit using industry-standard HTTPS/TLS.
Data stored on our managed cloud platform is protected by that platform's encryption and security safeguards. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your login credentials and the devices you use to access PayTrack.
Access Control and Role-Based Permissions
Access to your business data is enforced at the database level using row-level security. Each vendor, bill, and attachment is associated with a specific business, and the database only returns records to authenticated members of that business who hold the required permission.
PayTrack supports multiple user roles — Owner, Admin, Manager, and Staff — and granular per-member permissions that separately control the ability to view, add, edit, or delete vendors and bills, mark bills as paid, export data, view the activity log, and manage the team. These controls are enforced both in the app and in the database, so each user can access only the data and actions they are authorized for.
As a result, your uploaded invoices and business records are visible only to users your business has authorized, and not to other businesses or unauthorized accounts.
Service Providers and Sub-Processors
We rely on a limited set of trusted third-party service providers (sub-processors) to operate PayTrack. Each processes only the information needed for its function, and their handling of information may also be governed by their own privacy and data-processing terms.
These providers include: Supabase (hosting, database, authentication, and private file storage); Firebase Cloud Messaging, a Google service (push notification delivery); Google Sign-In (optional account authentication); Sentry (crash and error monitoring); PostHog (product analytics); and Resend (transactional email such as team invitations and reminders).
Our team accesses business data only when necessary to operate, support, secure, or troubleshoot the service. We do not sell your personal information or business records, and we do not use your business records for advertising.
Activity Log and Audit Trail
PayTrack automatically records an activity log of changes made within a business. Each entry captures the acting user, the action taken (created, updated, or deleted), the affected record such as a vendor or bill, the time of the change, and a snapshot of the record before and after the change.
The activity log helps business owners and administrators review team activity and maintain accountability. Log entries are generated by the system and cannot be edited by app users. Access to the activity log is limited to the business owner, administrators, and members granted the activity-log permission.
Backups and Service Availability
PayTrack is hosted on managed cloud infrastructure that maintains backups as part of its standard platform operations. We do not currently guarantee a specific backup frequency, recovery time, or uptime level.
In the event of a service interruption or discontinuation, we will make reasonable efforts to protect your data, but you should not rely on PayTrack as your only copy of business-critical records. We provide a built-in CSV export so you can download and keep your own copy of your bills and vendors at any time.
Data Ownership
You own the business, vendor, bill, payment, and file data you enter into PayTrack. By using the service, you grant us permission to host, process, store, transmit, back up, display, and secure that data only as needed to operate, maintain, troubleshoot, protect, and improve PayTrack.
We do not claim ownership of your business records, we do not sell them, and we do not use them for advertising. You are responsible for ensuring you have the right to store the information you enter.
Push Notifications
PayTrack may request permission to send push notifications for reminders, due dates, overdue bills, payment updates, account activity, or service-related messages.
We may process push notification tokens, device identifiers, notification preferences, and reminder settings to deliver notifications. You can control push notification permissions through your device settings. If notifications are disabled, some reminders may not appear. You remain responsible for tracking and paying bills on time.
Data Export
PayTrack may allow you to export supported vendor, bill, or payable records in CSV or other available formats. Exported files may contain business and payment information, so you should store and share them carefully.
Not all data may be included in exports. Attachments, internal logs, authentication records, notification tokens, analytics events, diagnostic records, crash logs, and certain system records may not be part of standard exports.
Subscriptions and Payments
If PayTrack offers paid plans, subscriptions, trials, or in-app purchases, payment processing may be handled by Apple App Store, Google Play, or another payment provider. PayTrack may receive limited purchase status information, such as whether a subscription is active, expired, cancelled, in trial, refunded, or in billing-retry state.
We do not receive or store your full payment card details when purchases are processed by third-party app stores or payment providers.
Third-Party Services We Use
PayTrack may use third-party services for hosting, authentication, database storage, file storage, analytics, crash reporting, diagnostics, error monitoring, push notifications, payment processing, app distribution, website hosting, form handling, and customer support.
These services may include Sentry for crash reporting and error monitoring, PostHog for product analytics, Google Analytics for website or app analytics, Apple App Store and Google Play for app distribution and in-app purchases, and other infrastructure providers used to operate the service.
These third-party services may process information on our behalf as service providers or processors. Their handling of information may also be governed by their own privacy policies, data processing terms, platform rules, and security practices.
How We Share Information
We do not sell your personal information or business records to advertisers.
We may share information with service providers that help us operate PayTrack, including hosting providers, database providers, file storage providers, analytics providers, crash reporting providers, diagnostics providers, notification providers, payment providers, app stores, website hosting providers, form handling providers, and support tools.
We may also share information where needed to comply with legal obligations, enforce our Terms, prevent fraud or abuse, protect rights and safety, respond to lawful requests, resolve disputes, or complete a business transfer such as a merger, acquisition, financing, restructuring, or asset sale.
Legal Bases Where Required
Where applicable law requires a legal basis for processing, we may process information to perform our contract with you, provide the service, comply with legal obligations, protect legitimate interests such as security and service improvement, prevent fraud, respond to support requests, or based on your consent where required.
Where consent is required for analytics, cookies, notifications, or similar technologies, we will rely on your consent or device/browser settings as applicable.
Data Retention
We retain account, business, vendor, bill, attachment, notification, analytics, diagnostic, crash, support, and technical records for as long as needed to provide PayTrack, comply with legal obligations, resolve disputes, prevent abuse, maintain backups, enforce agreements, improve reliability, and protect the service.
Analytics and diagnostics records may be retained for a limited period based on the settings of the relevant service provider. Backup copies may persist for a limited time after deletion before being overwritten or removed according to backup cycles.
When you delete your account, we will delete or de-identify applicable records where reasonably possible, except where retention is required or permitted for legal, security, backup, fraud prevention, dispute resolution, transaction records, analytics integrity, crash diagnostics, or legitimate business purposes.
Account Deletion
You can delete your PayTrack account from the app where account deletion is available. Deleting your account may permanently remove your profile, business access, vendors, bills, notification preferences, push tokens, attachments, and related app records where applicable.
If you cannot access the app, contact us at quantara.technology.company.pvt@gmail.com from your registered email address. Account deletion does not automatically cancel active subscriptions purchased through Apple App Store or Google Play. You must cancel subscriptions separately through the applicable platform.
Security
We use reasonable technical and organizational measures designed to protect information stored in PayTrack. These may include authenticated access, access controls, private storage rules, encryption in transit, infrastructure security, monitoring, and service-level security protections.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you are responsible for protecting your login credentials and devices.
Children’s Privacy
PayTrack is intended for business use and is not directed to children. We do not knowingly collect personal information from children under the age required by applicable law.
If you believe a child has provided information to PayTrack, contact us and we will take appropriate steps to review and remove the information where required.
International Users
Depending on where you live and where our service providers operate, your information may be processed in countries other than your own. These countries may have data protection laws different from those in your location.
By using PayTrack, you understand that your information may be processed and stored where our infrastructure, analytics providers, diagnostics providers, crash reporting providers, and other service providers operate.
Your Rights and Choices
Depending on your location, you may have rights to access, correct, export, delete, restrict, or object to certain processing of personal information. You may also have the right to withdraw consent where processing is based on consent.
You can manage some choices through app settings, browser settings, device settings, notification permissions, app store subscription settings, and account deletion tools. App Store and Google Play Disclosures
The Apple App Store and Google Play may require standardized privacy or data safety disclosures. Those summaries are intended to describe PayTrack’s data practices in a platform-specific format.
If there is a conflict between a short-form app store disclosure and this Privacy Policy, this Privacy Policy provides more detailed information about our data practices. We aim to keep all disclosures accurate and consistent.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes, we may update the “Last updated” date and, where appropriate, notify users through the app, website, email, or other reasonable means.
Your continued use of PayTrack after changes become effective means you acknowledge the updated Privacy Policy.
